Job Summary:
To take responsibility for the programming and maintenance of the workforce management system
(Kronos) with the aim of improving the reliability, efficiency and usability of all time and attendance
data, information and processes for analysis and reporting by HR representatives and Line
Managers. The incumbent also provides strategic advice on the efficiency of workforce deployments
and management interventions to control staff costs.
Minimum Qualifications and experience:
Diploma or Degree in Finance or Related Field
5 years’ experience as a Kronos manager
Expert on Kronos System
Knowledgeable in managing time and attendance processes
Expert in Analysis, Interpretation and Reporting
Added Advantage
Private healthcare experience is advantageous
Implement, monitor and control Kronos (time and attendance) processes according to quality
standards and relevant policy.
Ensure the development, alignment, mapping and implementation of end-to-end standard
operating procedures and processes.
Perform regular audits and analyse data to make recommendations.
Provide guidance, awareness, training and solutions to ensure accurate transfer of system
knowledge.
Ensure the Kronos system is accessible with valid data for payroll processing and drive continuous
improvement and identify and manage operational risks.
Establish Kronos access and approval controls based on various functional roles
Review Kronos records for accuracy of hours worked, leave taken and accounts charged for hours
worked for all employees.
Audit and review each pay period to ensure compliance with all rules, policies and legislative /
regulatory requirements.
Facilitate electronic extracts of Kronos payment information to ensure accurate and timeous
payment of hours worked.
Assist Kronos users to with basic troubleshooting to ensure timeous and accurate processing of
timecard transactions and minimising errors.
Resolve escalated queries related to time and attendance from HR and Payroll.
Investigate and understand stakeholders needs to enable delivery of a quality service.
Communicate with all necessary stakeholders to resolve rejected timesheets – all unresolved
issues will result in non-payment via the normal Payroll process.
Ensure financial documentation (related to Payroll and within scope) is maintained to support
accurate record keeping and future requirements as per legislation.
Comply with cost controls to achieve section budget.
Ensure monthly and weekly Payroll deadlines are met.
Research, collate and present business intelligence to feed into management decisions and
support business strategy.

Analyse information and reports to identify trends, discrepancies and inconsistencies for decision making purposes.
